Your Privacy Matters

We're committed to protecting your personal information. If you've got questions about how we handle your data, don't hesitate to reach out.

Overview

Look, we get it - privacy policies can be a real slog to read through. We've tried to keep this one straightforward and honest.

At Grimspire Forge Architecture, we take your privacy seriously. We're not in the business of selling your data or doing anything sketchy with your information. This policy explains what we collect, why we need it, and how we keep it safe. We operate under Canadian privacy laws (PIPEDA), and we're pretty strict about following them.

Whether you're reaching out for a consultation, checking out our portfolio, or just browsing around, we want you to know exactly what happens with any info you share with us.

Information We Collect

Personal Information You Give Us

When you fill out our contact forms, request a consultation, or send us an email, we'll collect stuff like:

  • Your name and how you'd like us to address you
  • Email address and phone number
  • Company name and position (if you're representing an organization)
  • Project details and specific requirements you share
  • Mailing address (when relevant for project discussions)
  • Any other info you voluntarily provide in communications

Automatically Collected Information

Like most websites, ours collects some technical data automatically:

  • IP address and general location (city/region level, nothing creepy)
  • Browser type and device information
  • Pages you visit and how long you hang around
  • Referring website (where you came from)
  • Date and time of your visit

Project-Related Information

When we're working together on a project, we'll also collect documents, site photos, technical specifications, and other materials you provide. We keep this stuff secure and only use it for the purposes you've agreed to.

How We Use Your Data

We're not gonna beat around the bush - here's what we actually do with your information:

Communication

Responding to your inquiries, keeping you updated on projects, and sending relevant information you've requested.

Service Delivery

Actually doing the architectural work you've hired us for - consultations, designs, project management, all that good stuff.

Website Improvement

Understanding how people use our site so we can make it better and more useful.

Legal Compliance

Meeting our legal obligations, protecting rights, and maintaining proper business records.

No Marketing Spam: We won't add you to marketing lists without your explicit consent. If you sign up for our newsletter or updates, you can unsubscribe anytime.

Data Sharing & Disclosure

We don't sell your personal information. Period. That's not our business model and never will be.

However, there are some situations where we might need to share your data:

Service Providers

We work with trusted third parties who help us run our business - web hosting, email services, project management tools, that sort of thing. These folks only get access to the data they need to do their job, and they're bound by confidentiality agreements.

Project Collaborators

When we're working on your project, we might need to share relevant information with engineers, contractors, municipal authorities, or other professionals involved in the work. We'll always let you know who we're sharing with and why.

Legal Requirements

If the law requires it, or if we need to protect our rights or someone's safety, we may disclose information. We're talking court orders, legal proceedings, that kind of scenario - not everyday stuff.

Cookies & Tracking Technologies

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are small files that help our website function properly and remember your preferences.

Essential Cookies

These are necessary for the site to work. They handle things like keeping you logged into forms and remembering your session.

Analytics Cookies

We use these to understand how people use our site - what pages are popular, where folks are getting stuck, etc. This helps us make the site better. We use tools like Google Analytics but with IP anonymization turned on.

Managing Cookies

You can control cookies through your browser settings. Keep in mind that blocking certain cookies might make parts of our site not work as smoothly. Most browsers have pretty straightforward cookie management tools - check your browser's help section if you're not sure where to find them.

Your Privacy Rights

Under Canadian privacy law (PIPEDA), you've got some solid rights when it comes to your personal information:

Access Your Data

You can request a copy of the personal information we have about you. We'll get that to you within 30 days.

Correct Inaccuracies

If something we've got on file is wrong, let us know and we'll fix it.

Request Deletion

You can ask us to delete your personal information, though we might need to keep some records for legal or contractual reasons.

Withdraw Consent

If you've given us permission to use your data for something specific, you can take that permission back anytime.

Lodge a Complaint

If you're not happy with how we've handled your data, you can complain to the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, just shoot us an email at info@grimspireforge.info or give us a call at (416) 555-7829. We'll verify your identity and get things sorted out.

Data Security

We take security seriously - it's not just about compliance, it's about doing right by you.

Here's what we do to keep your information safe:

  • SSL encryption for all data transmitted through our website
  • Secure, encrypted storage for all personal data
  • Regular security audits and updates
  • Limited access - only team members who actually need your data can see it
  • Strong password policies and multi-factor authentication
  • Regular backups stored securely offsite

That said, no system is 100% foolproof. We can't guarantee absolute security, but we're constantly working to minimize risks. If we ever experience a data breach that affects your information, we'll let you know right away and explain what happened and what we're doing about it.

Data Retention

We don't keep your data forever - that'd be weird and unnecessary.

General inquiries: If you reach out but we don't end up working together, we'll keep your contact info for about a year, then delete it unless you've asked to stay on our newsletter list.

Client projects: For folks we've actually worked with, we need to keep project files and related communications for seven years. That's partly for legal reasons (tax records, contracts, liability stuff) and partly so we can reference past work if needed.

Website analytics: We keep aggregated, anonymized website data for about 26 months to track long-term trends.

Once the retention period is up, we securely delete or anonymize your data. If you want us to delete your information sooner, just ask - though we might need to keep some records if there's a legal requirement.

Third-Party Links

Our website might link to other sites - project partners, material suppliers, industry resources, that kind of thing. Once you click on one of those links, you're leaving our site and entering their privacy policy territory. We don't control their practices, so it's worth checking out their policies if you're concerned about privacy.

Children's Privacy

Our services are aimed at adults and businesses. We don't knowingly collect information from anyone under 16. If you're a parent and think your kid has given us their info, please let us know and we'll delete it right away.

Changes to This Policy

We might update this privacy policy from time to time - new laws, new services, new best practices, whatever. When we make significant changes, we'll post a notice on our website and update the "Last Updated" date at the top of this page.

If you're a current client, we'll also send you an email about major changes. For everyone else, we recommend checking back here occasionally if privacy is something you're keeping tabs on.

If you've got questions, concerns, or want to exercise any of your privacy rights, we're here to help. Seriously - don't hesitate to reach out.
